Privacy Policy
The Hebrew version of this Privacy Policy is the sole binding version. Versions in other languages are translations provided for convenience only. Links are in Contact Information at the end.
Scope
This Privacy Policy describes how EldeRem Ltd. (“EldeRem,” “we,” “us,” or “our”) handles personal information across both of our web properties:
- home.elderem.com — our informational website; and
- app.elderem.com — our payroll application.
The section headed “Visitors” applies to visitors of our informational website. Everything after it applies to Account Holders — anyone holding a login to the payroll application. All Account Holders are treated identically under this Privacy Policy, whether they are Employers, Employees, or Authorized Users. Everything held in the application is confidential; nothing in it is public.
The sections on Where it is stored, Security, Security incidents, Your rights, Changes to this Privacy Policy, and Contact Information apply to visitors as well.
This Privacy Policy forms part of our Terms of Service. Links to both documents are in Contact Information at the end.
Visitors
We do not collect any information from visitors to our informational website. There are no contact forms, signup forms, or analytics or tracking tools on it.
Our hosting provider maintains standard server logs of requests to the site, recording technical details such as your IP address, browser and device type, the page requested, the referring page, and the time of the request. These logs exist to operate and secure the site. We do not analyse them, we do not use them to build a profile of you, and we do not combine them with any other information.
The informational website sets only cookies strictly necessary for it to function. It does not set analytics, advertising, or tracking cookies. Most browsers let you remove or reject cookies through their settings.
If we later add analytics or any form that collects information from visitors, we will update this Privacy Policy first and obtain consent where required.
The remainder of this Privacy Policy applies to Account Holders.
Information we collect
When an account is created and used, we collect:
- Account details — name, email address, phone number, login credentials and authentication data, including where you sign in through Google or Apple.
- Identity data — identity number (Teudat Zehut), and for foreign nationals, passport number and visa or work permit details; date of birth; address.
- Financial data — bank account details for salary payment, and billing details for the account’s subscription.
- Payroll data — salary, working hours, leave and sick days, advances, deductions, pension and severance contributions, and the resulting pay slips, Form 106, and statutory reporting outputs.
- Uploaded documents — copies of identity documents, visas, work permits, insurance certificates, employment agreements, and similar files uploaded to the application.
- Care context information — where an Employer provides it, limited information about the person receiving care, to the extent it affects employment terms or scheduling.
- Communications — the content of correspondence with our support team.
- Technical information — as described under “Visitors” above, plus records of activity within the account.
Much of this is sensitive information under Israeli privacy law — in particular identity and passport numbers, bank details, salary information, and any information relating to a person’s health or care needs. We handle it accordingly, as described under “Security” below.
Information may be entered by one Account Holder about another — for example, an Employer entering their employee’s details. All of it is confidential and protected in the same way, regardless of who entered it.
We do not purchase personal information from data brokers, data licensors, or marketing partners. We do not build advertising profiles and we do not use interest-based advertising.
The application sets cookies necessary for session management, authentication, and security. These are required for the application to work.
Whether you are required to provide information
You are not legally obliged to provide us with personal information. However, we cannot deliver the service without it — payroll cannot be calculated, pay slips cannot be issued, and statutory filings cannot be prepared without the details above. If information identified as required is not provided, we will be unable to provide the relevant part of the service.
Why we use it
We use personal information only to:
- Deliver the service — calculate payroll, generate pay slips and Form 106, maintain employment records, and prepare statutory reporting outputs.
- Operate the account — registration, authentication, permissions, and billing.
- Communicate — service announcements, security alerts, support responses, and administrative messages.
- Secure the service — detect and prevent fraud, unauthorized access, and misuse.
- Comply with law — meet our own retention, tax, and reporting obligations, and respond to lawful requests from competent authorities.
- Improve the service — analyze aggregated usage patterns, after removing identifying details.
- Send marketing — only with your prior consent, in accordance with Section 30A of the Communications (Telecommunications and Broadcasts) Law, 5742-1982. You may withdraw consent at any time using the opt-out link in any message or by contacting us. Withdrawing marketing consent does not stop service messages, which are necessary while the account is active.
We do not sell personal information.
Who we share it with
- Within the account — information is visible to other Account Holders on the same account according to the permissions the Employer has set. An Employer may, for example, grant an accountant, a certified wage examiner (Bodek Sachar), or an agency a view of the account. Access granted this way remains confidential and subject to this Privacy Policy.
- Service providers — third parties operating infrastructure or providing functions on our behalf, under contract and only as needed. This includes our cloud hosting provider, which hosts the application and stores uploaded documents.
- At your direction — where you instruct us to share information with a third party, such as your accountant or pension provider.
- Professional advisors — our lawyers, accountants, and insurers, where necessary and subject to confidentiality.
- Authorities — where required by law, court order, or lawful request from a competent authority.
- Business transfers — in connection with a merger, acquisition, investment, or sale of assets. Any recipient will be bound by this Privacy Policy, and we will notify you.
We do not share personal information with advertising networks, marketing partners, or data brokers.
Where it is stored
Our application and our informational website are hosted in the United States, and personal information is stored and processed there. By using our services you consent to this transfer.
Our hosting providers are contractually bound to protect the information, and we transfer it only as permitted under the Israeli rules governing transfer of information to databases abroad.
How long we keep it
We retain account and payroll records for the minimum periods required by Israeli law, including the requirement to retain books and records for at least seven (7) years under applicable tax regulations.
Following termination of an account, data remains available for export for a limited period, after which it is deleted except where we are required to retain it by law. Employees retain access to pay slips and statutory documents already issued to them in accordance with our Terms of Service, regardless of the status of the Employer’s subscription.
Security
We apply administrative, technical, and physical safeguards to protect personal information, including:
- encryption of sensitive data — identity numbers, passport and visa details, and bank account details — in transit and at rest;
- access controls limiting which Account Holders and which of our personnel can view which records;
- audit logging of access to sensitive records;
- separation of uploaded identity documents from general application data.
No system is completely secure and we cannot guarantee absolute security. We will never ask you to send identity documents or bank details by email — always upload them through the application.
Security incidents
If we become aware of a security incident affecting your personal information, we will notify you without undue delay, describe what we know about the incident and the information affected, and tell you what we are doing in response, in accordance with our obligations under Israeli law.
Your rights
You have the right to:
- review the personal information we hold about you;
- request correction of information that is inaccurate, incomplete, or out of date;
- request deletion of information, where we are not required to retain it by law;
- withdraw consent to marketing communications at any time.
To exercise any of these rights, contact us using information in the Contact Info section. We will respond within the period required by law.
If you believe we have not handled your information properly, you may contact us at using information in the Contact Info section or lodge a complaint with the Israeli Privacy Protection Authority.
Children
Our services are not directed to anyone under 18 years of age, and we do not knowingly collect personal information directly from children. Where an Employer enters information about a dependant or family member in connection with employment terms, that information is handled as described in this Privacy Policy. If you believe we hold information about a child that should not have been collected, contact us and we will address it.
Other sites
Our services may link to websites operated by third parties, such as pension provider portals and banking sites. We do not control those services and are not responsible for their privacy practices. We encourage you to read their privacy policies.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time. We will give at least thirty (30) days’ advance notice of any material change, through our services and by email. Non-material changes, such as correcting errors or clarifying existing language, take effect on posting. The date at the top shows when this Privacy Policy was last updated.
